Derek Field said only Wellman had responded with questions and availability at the time of the meeting; staff are awaiting replies from the other two firms.
Field said the commission will likely need a special meeting to interview the firms and that staff hope to complete the selection process before the end of the calendar year for the benefit of bridge operations. Commissioners discussed the logistics for interviews: the sessions will be open meetings but staff said only one presenter will be in the room at a time and that commissioners typically schedule one-hour interview slots with 15-minute gaps to avoid information crossover. Commission counsel and staff cited Open Meetings Act guidance when explaining the approach and the need to avoid giving later bidders access to earlier interview questions.
Field and commissioners agreed to seek availability from the firms and to schedule a special meeting between the regular October and November commission meetings if possible. Field said staff will confirm deadlines for firms to submit answers and availability.
