Board approves five-year PowerSchool contract to lock in savings for 11 products

The Queen Anne's County Board of Education voted June 18 to approve a five-year contract with PowerSchool that covers 11 products used by the district, finance staff said.
Rob Watkins, supervisor of finance, told the board the district negotiated a five-year agreement to secure a 5% discount in the first year and to reduce expected annual increases from about 7% to 4% over the contract term. Watkins said the total five-year cost impact presented was $2,486,987 and that the contract will be funded annually; next year's fiscal impact as presented in the motion was $469,165.41 charged to the FY26 operating budget. Watkins said the district projects five-year savings of $372,706 if it locks into the five-year deal rather than continuing annual renewals.
Watkins emphasized the tradeoff: the district will realize savings but will be committed to the products for five years rather than renewing year-to-year. The contract covers the student information system (SIS), 504 tracking, Naviance, Schoology (learning management), evaluation and performance platforms, employee access and finance systems, TimeClock Plus, student registration and enrollment (including a Spanish-language option), SmartFind substitute management, and assessment/data platforms.
A motion to approve the five-year PowerSchool contract for 11 products passed by voice vote; no roll-call tally was recorded in the transcript.
