Town staff and the Tree Commission confirmed that four proposals were received for the town’s landscape maintenance contract; staff said evaluation of those proposals was scheduled the day after the meeting and any award will go to the Town Council for approval because it is a multiyear contract.
Separately, commission members reviewed recent expenditures connected to outreach and events. A $700 invoice for a “buy one get one free” ad space for the Flower Garden Festival and a separate $250 payment were discussed; the presenter said those invoices were submitted to staff and that the tree-commission line had been used to cover some festival purchases this year. The commission noted it had exceeded its budget by about $200–$300 so far this year and asked staff to provide a report on line-item expenditures for the next meeting.
Signage and display logistics were also discussed. The commission is acquiring a shared 10x10 tent for events (the canopy top will be reused and the sides will be handled with a sticky banner or Velcro); members discussed using a removable decal to update dates annually. Corey (a signage contact) and Paul at ACE Signs were referenced as vendors who have produced decals and the Tree City USA sign previously. The group discussed buying additional Tree City USA entry signs; one supplier’s 24x30-inch sign price was cited at $74.95.
Why it matters: procurement decisions for maintenance contracts will affect how the town cares for public trees and planting sites; budget overspend and signage choices affect outreach and event presence. Staff said they will pull a budget report for the commission’s next meeting and will proceed with procurement steps for the maintenance contract.
