Grayson County purchasing staff told the Commissioners Court on June 24 that a request for proposals for janitorial services returned 10 bids and the evaluation narrowed the field to two finalists.
Purchasing staff said the two finalists are Ambassador Cleaning Services and Premium Cleaning Services (PCS). Ambassador proposed a monthly cost of $22,764.63; PCS, the incumbent, proposed $24,583.46. Staff presented the difference as roughly $21,825 in annual savings if the county switches to Ambassador.
Commissioners approved a motion to initiate contract negotiations with the highest-ranked vendor and asked purchasing to include specific contract provisions when the contract is returned for final approval. Purchasing staff told the court they will include termination language and a probationary clause and will coordinate background checks through human resources; they also said they are willing to allow current PCS employees to interview with the recommended vendor.
Commissioner discussion emphasized fiscal responsibility and asked that any contract returned to court include clear quality and termination provisions. The purchasing department indicated it would return with a draft contract and more detailed service specifications for court review.
The motion to begin negotiations was moved by Commissioner Maher, seconded by Commissioner Arthur, and carried unanimously.
