Lenovo provided a like‑for‑like “part‑for‑part” quote of $133,020 for the equipment and separately quoted white‑glove migration services so the vendor will deliver, install and assist data migration in a live environment; adding those migration services brought the Lenovo total estimate to about $181,420.
County finance staff said the equipment reserve had funding available and that moving the server purchase forward would reduce future risk of unsupported systems. Marcus (county finance staff) said the county had set aside roughly $170,000 earlier for future servers but could accelerate that purchase and still leave healthy reserves. He summarized that the county’s equipment reserve would remain in a strong position after the purchase.
Commissioners discussed licensing costs associated with the migration (an estimated additional cost that could fluctuate); Justin said the licensing estimate could vary but that the county’s best estimate put the combined cost well below the Dell equipment‑only quote. To allow for potential licensing variance, the commission approved the purchase with a maximum authorization figure.
