The Recreation and Park Department requested that the commission recommend the Board of Supervisors approve a two‑year extension of its software service agreement with ActiveNet to run through December 2027.
Anne Marie (Assistant Superintendent of Recreation) told commissioners the contract—originally initiated in 2015 and amended multiple times—supports core recreation business functions, including program registration, permit sales and financial transactions that exceed $20 million annually. Because the system is tightly integrated with the city’s financial systems and because a full competitive bidding and replacement procurement will take more than a year, staff said a two‑year extension is needed to avoid service disruption.
As part of the proposed amendment, the department will include language to allow exclusion of ActiveNet’s exclusive use for certain specialized reservation types—specifically tennis court reservations and county fair building reservations—because ActiveNet lacks necessary functionality for those use cases.
Commissioners praised the staff work managing the system and approved the extension. Staff said a formal bidding process will begin and that the extension provides time to test and, if appropriate, migrate to a replacement system while continuing critical services.
