Commissioners hold procurement item after questions about large bid discrepancy

Commissioner Hale asked the court to pull consent agenda item 1F2 and moved to hold the item for further review after noting a large discrepancy between two vendor quotes on a facilities maintenance contract. The court agreed to hold the item over without objection.

The issue arose during the consent agenda when Hale said one vendor’s quote for a three-year contract was listed at $105,000 while another quote for approximately one year was $505,000. Hale said the difference—together with mismatched term lengths—warranted additional review before the court approved the award.

Michelle, the county purchasing agent, told the court that purchasing evaluates quotes against specifications and solicits input from departments, architects or engineers and references as needed. “I could look further into this if you would like,” she said. Hale asked that the item be held for one week to allow operations and purchasing to explain the apparent disparity.

The court’s action was procedural: the item was removed from the consent vote and held for additional questions and clarification. No award was made, and no vendor names or contract documents were disclosed during the discussion.
