IAM delays CMMS purchase; procurement evaluation to resume in FY26

Infrastructure & Asset Management (IAM) staff told the Somerville finance committee June 16 that the city's planned computerized maintenance-management system (CMMS) procurement slipped from FY25 into FY26. Michael Richards, IAM finance and administration director, said staff had budgeted $350,000 for the project in FY25 ($200,000 for software, $150,000 for implementation support) but had only encumbered about $90,000 due to schedule and project-timing issues.
Richards said the department is evaluating nine proposals and plans to shortlist to three vendors for interviews; implementation work and support that were budgeted for FY25 are likely to be spent in FY26. Committee members asked about the underspend in other IAM OM lines; Richards said the primary reason was the CMMS timing and pled the department expects to move forward quickly in FY26.
The CMMS is intended to centralize work orders, asset inventories and preventive maintenance schedules across city departments. Richards told the committee the department aims to finalize procurement steps and begin implementation work in FY26 to realize cross-department efficiencies.
Councilors asked for a procurement schedule and for updates on costs; IAM staff said they will share the shortlist and recommended award timeline as the process moves forward.
