Kovacs said the assessor’s office manages about 97,000 parcels across six districts and needs lead time to research valuation issues; he described recent incidents in which valuations were set to zero after mapping or system changes and said having assessor staff involved earlier would reduce last‑minute, reactionary requests.
Commissioners questioned how often the problem has occurred and whether a system change is necessary. One commissioner noted the board’s agenda is published at noon Friday for the following week, which often serves as notice, and said a notes field in the agenda packet might be sufficient. Another commissioner recalled a prior notice from the treasurer in December about some valuation items and questioned why that item had not been placed on the agenda sooner.
Kovacs said his request was meant as an operational improvement to create consistency and lead time for staff rather than a large, structural system change. Commissioners did not take formal action at the meeting; staff discussion suggested possible options including adding an OnBase prompt or adding a clarifying note in the agenda description when items affect the assessor’s office.
No formal policy change or software modification was approved during the meeting; Kovacs asked to have the suggestion considered so assessor staff would be involved earlier when appropriate.
