The Aurora East USD 131 Buildings and Grounds Committee received updates on the district’s summer maintenance projects, a plan to replace two aging district vans and a proposed vendor change for the district’s Casia security software during its meeting.
Staff said summer work this year will focus on clearing contractor space, abatement related to window projects, and flooring, and that projects will be tracked through July and August into September. “At this point, because we just finished school today, this week, we will be cleaning out areas, working with the contractors to make sure that they have their space that they need,” Dr. Steve Magazini, a district staff member, said.
The committee heard an overview of the district’s work-order summary, which staff described as a monthly tool to monitor work types, assignments and lead times. Staff noted that some work orders remain open longer because of external lead times for parts or larger contracts, such as electrical work.
On district vehicles, staff said two fleet vans (a delivery van and a mail van) are approaching 10 years of service and are “getting rundown.” Staff reported they had compared auctions, used and new purchases and found a purchasing cooperative price to be the lowest. “It’s about $52,000 per van,” Dr. Magazini said. Committee members said the committee would return this purchase request to the full board for approval at a later meeting.
The committee also discussed an IT-related item: switching vendors for the district’s Casia security product. Staff said the change would provide more services for a lower price. Committee members confirmed the district’s IT group had vetted the vendor and pricing.
Staff presented a resolution to sell personal property (copiers) as the district moves to a new copier provider; committee members asked whether that item would be placed on the consent/action agenda for the next full board meeting. Staff indicated timing would be confirmed and brought back for formal approval.
Committee members reviewed proposed committee meeting dates for fiscal year 2025–26 (first Mondays of the month, with holiday adjustments). Staff acknowledged a typographical error in the draft calendar and said they would correct the dates before posting.
What’s next: items that require funding or formal approval — notably the vehicle purchases and the sale of surplus copiers — will be brought to the full board. Staff said summer projects will continue to be tracked and reported to the committee over the summer months.
