Board office updates portal rules, keeps CivicClerks contract; staff flags committee calendars and appointments

Crystal, a board office staff member, presented the May monthly update to commissioners on May 22 and requested a motion to receive and file the update, which the board approved unanimously.

Crystal told the board that the public portal will display meeting notices for pending agenda items until final agendas are published, a deliberate choice intended to avoid showing unpublished documents. She said staff completed discovery on a new agenda-management system but recommended remaining with CivicClerks and that the county is negotiating contract terms to ensure continued support.

She also noted procedural timelines for appointments: two Veterans Affairs Commission appointments will be made in July, and applications are due July 15 in accordance with an existing county policy that requires advertising vacancies for 90 days. Crystal said older adult advisory committee appointments are made in December and are staggered to help incoming commissioners get familiar with committee duties.

The report summarized recent events (volunteer recognition, Green Schools events and Detroit Zoo activities), social‑media and newsletter metrics (a 38% unique open rate on the main newsletter), and staff plans to improve consistent monthly statistics. Upcoming events cited included a drop‑in bike ride on Saturday, June 7, and a yoga event in July; Crystal also noted the next older adult advisory committee meeting at 3 p.m. on Tuesday, June 20, when Martha T. Berry will present.
