Commission considers Smartsheet-based social media submissions hub to speed approvals

During the May 7 meeting the Milwaukee County Youth Commission Committee on Community Engagement and Racial Justice reviewed its social media policy and discussed creating a centralized submissions hub to streamline post approvals.

Commissioner Brody and staff described the existing social media policy as long and incrementally expanded; they proposed simplifying the policy text and building a clear procedure for submissions. "I feel like our social media policy has just grown, like, very long," said Commissioner Brody, who said he would compile a list of items to address before the next meeting.

The governance-planning discussion produced a proposal to create a single place where commissioners can submit post text and photos; proposed tools included a Smartsheet form linked to a shared OneDrive folder so content managers (named in the policy) could access submissions and attachments in one place. Miss Charlene, a commissioner, said social media "moves fast," and having content in one place would help communications staff post in a timely way.

Commissioners raised practical questions about upload limits and file-size caps; staff said they would check whether Smartsheet supports photo uploads and attachments at the needed size. Commissioners also noted a shared OneDrive or other repository should not create quorum issues because it is an information-sharing tool, not a decision-making meeting.

No policy change or vote occurred; staff will investigate Smartsheet/OneDrive capability and return with recommended workflow and a draft revision of the social media policy for committee review.
