The board approved a five-year cooperative contract with Novatech Inc. on Monday to provide townwide copier systems and services through the Sourcewell cooperative, town finance director Felisa Wells said.
Wells told the board the previous contract under a City of Memphis cooperative was being terminated early and the town had limited time to secure a replacement. After reviewing cooperative options, staff selected Sourcewell because it allowed adequate time for due diligence and uses the same machine provider currently in use, avoiding a service gap and eliminating a need for staff to learn new equipment.
Wells said the new agreement retains the per-copy (per-click) charge the town has paid for the past five years but will raise the fixed monthly rental fee to accommodate some equipment upgrades requested by departments. Staff estimated the change at about $612 per month, or roughly $7,400 annually, and said the rate is fixed for the five-year contract term.
The motion to approve passed on a roll-call vote. Wells said benefits include consolidated billing, a single service desk, defined service levels and flexibility to move or remove equipment without early-termination penalties.
