City staff advised that an automated acknowledgement function was not available via the current IT ticket response and volunteers would likely generate many automatic out-of-office messages if each panelist used an autoresponder. Panelists discussed two needs: (1) an early, automated or manual acknowledgement that an email was received; and (2) a substantive reply timeline or triage process for meaningful follow-up (for example, standard guidance to refer complainants to the formal complaint-filing process where appropriate).
The group agreed to a pilot process: co-chairs (or designated staff) will handle routine acknowledgements and be able to BCC the panel on substantive replies where the co-chairs think full panel input is needed. Panelists asked that co-chairs circulate substantive draft replies 24 hours before sending when possible so members can weigh in on items requiring panel attention. The panel agreed to trial the BCC/triage approach for about one month and revisit at the next business meeting.
Panelists clarified that routine, administrative messages do not need full-panel circulation, but items that raise policy questions or potential formal complaints should be escalated for panel review.
