The committee discussed typical hosting costs — chiefly nurse coverage, custodial and security for after‑hours concerts, and minimal audio‑visual support — and staff said most expenses are covered or coordinated through BCMEA.
“Approximately 700 students across the county will be coming, to our district to participate, and we will be using 3 different buildings,” said Gina Lennox, who described the festival logistics and the organization’s practice of rotating hosts among districts. Lennox said the BCMEA supplies guest conductors, music purchases and many central festival costs, and that the host district typically absorbs a share of custodial or nursing hours for evening and Saturday concerts.
Staff said the district is the smallest in the county able to host the festival and that hosting benefits Centennial students and the district’s music program. The committee discussed a supporting document that estimated hosting costs in the low thousands; multiple speakers referenced a figure in the supporting materials in the range of $4,000 to $6,000 as the district’s likely out‑of‑pocket share for extra Saturday concert staffing and related items.
Nursing and health forms were discussed: administrators said participating districts provide medical forms in advance so the host nurse can be aware of student health needs. District staff stressed that most rehearsals occur during operating hours and do not incur extra staffing; additional costs apply only for the after‑hours concerts.
The committee agreed to forward the hosting recommendation to the full board as part of a package of six items for board consideration on May 27. Committee members emphasized the importance of early planning, guest‑conductor commitments and locking dates with BCMEA in time for the festival’s preparations.
Staff asked for the board’s approval to proceed with hosting logistics; the committee voted 3‑0 to move the item to the full board agenda.
