Agencies must enter the employee's last physical workday, last pay period paid, removal-from-payroll date and reason for removal. The presenter emphasized that employees must be off payroll before submitting a final packet and that the number of unused sick, vacation and personal days must be finalized. The presenter advised agencies to verify the employee base rate of pay and include longevity or permanent differentials to avoid discrepancies.
On service purchases, the presenter reviewed the Service Purchase Estimate Requests module, which allows employers and employees to submit requests for optional service (repayment of refunded service, military service, qualifying periods, and short periods). The presenter noted that only one qualifying period or short period can be added per request, that military service can be added with DD-214 supporting documents, and that SERS staff will post an offer letter to the member inbox if eligible or a denial letter if not. The presenter also described the repayment-of-refund and payment options and that payroll deduction setup and lump-sum deduction setup are tracked in separate payroll-deductions lists on the Employer Dashboard.
Why it matters: Accurate and complete employer statements and correct service-purchase documentation determine members' final benefit calculations and whether members can elect pre- or post-tax treatment for lump-sum payouts.
