Board approves vendor for districtwide comprehensive needs assessment and extends contract for Next Step services

The Vicksburg Warren School District Board of Trustees approved a districtwide comprehensive needs assessment contract and extended an existing contract for Next Step services through June 30, 2025, with a retroactive period beginning Sept. 1, 2024.
District staff explained the comprehensive needs assessment will survey every school, student, parent and teacher to compile a districtwide report and will include a vendor-built website and a bound report for principals. The board packet and discussion identified a contract figure of $15,200 for the needs assessment (described in the meeting as $15,200 for two months); the board approved the item by voice vote.
On a separate procurement item, the board discussed a prior contract with Next Step that had been approved in June 2024 and covered services through September 2024. Staff said the district asked Next Step for an extension to pay the vendor for work performed from September 2024 through February 2025 and to continue services through June 30, 2025. Staff said the extension and retroactive payment were budgeted and consistent with prior-year costs; board members asked whether the extension created an unplanned budget impact and were told it did not. The posted effective dates in the agenda materials read Sept. 1, 2024, to June 30, 2025. The board approved the contract extension by voice vote.
Board members discussed the need to track contract expiration dates and renewals to avoid lapses. One board member recommended implementing a contract-tracking mechanism so maintenance and other contracts are renewed before they expire.
