Trustees and senior administrators reviewed a draft "key roles and responsibilities" chart intended to clarify who owns major functions in the district and which staff members support those functions. The presenter said the exercise was meant to reduce both gaps and overlaps in district work.
Dr. Gibson and district staff described the approach used: identify "key" responsibilities that are ongoing (for example, budget forecasting) and distinguish them from one-time tasks. Trustees discussed how some duties that appear obvious by title are nonetheless carried out by staff with specific background or expertise; the presenter gave an example in which a staff member with a PhD handled Institutional Review Board (IRB) approvals because of prior experience.
Administration said it will compile individual one-page summaries ("one-pagers") for senior positions and make them available in a single electronic folder and in binders for trustees. Trustees supported the idea of receiving a consolidated summary packet (trustees estimated that the pulled-summary packet would be roughly 20 pages) and of reviewing the materials during upcoming meetings. The board did not take formal action but asked staff to continue finalizing the role descriptions and to present the one-pagers for trustee feedback before finalizing.
