Board approves four-year lease for 1,100 staff laptops with white-glove service

The Mustang Public Schools Board approved the purchase/lease of 1,100 staff laptops and associated services following a staff presentation on vendor proposals.
District staff told the board the recommended award went to Traferra for Lenovo ThinkPad units. The contract includes four years of ADP warranty coverage, system imaging, asset tagging and ‘‘white-gloving’’ preparation so devices arrive ready for distribution. Staff quoted an annual lease payment of $268,281 and read a four‑year lease total of $1,073,124 during the presentation; the lease includes a $1 buyout at the end of the term so the district will own the equipment after the contract expires.
Staff explained the white-gloving service means vendors will unbox, image, asset-tag and minimally repackage units on pallets so district staff do not have to prepare each device individually. The presenter said Traferra has provided Chromebooks to the district since 2016 and that the district has out‑clauses in contracts allowing termination or correction if vendor performance is unacceptable.
Board members asked about specifications, warranty coverage and the district’s plan for older devices. Staff said all vendor bids met or exceeded the district's minimum specifications; ADP warranty covers accidental damage and on-call repair; roughly 900 existing laptops are five years old and will be surplused if not operational, with about 100 units of varying age retained for potential use.
The motion to approve the laptop procurement passed by voice vote.
Next steps: staff will schedule white-gloved deliveries, asset tagging and begin disposition of devices that no longer meet operational standards.
