Escondido trustees defer $260,000 furniture purchase, ask for coordinated list with Friends and foundations

Library staff asked the Board of Trustees to authorize the use of $260,000 from library trust funds to purchase furniture, fixtures and equipment (FF&E) for the first floor under the Building Forward infrastructure grant project.

Staff provided trustees with a vendor quote from GM covering design, furniture selection and cooperative‑purchase pricing. Staff said the requested $260,000 includes a contingency (staff identified $40,000 of contingency in discussion) and covers new seating, study room furniture, a teen space, coworking‑style furniture and limited staff furniture tied to reconfigurations.

Several trustees urged staff to circulate a complete list of unfunded items to the Friends of the Library and other foundations before approving the trust‑fund purchase. Trustees and staff agreed the full list of funding needs depends on construction bid alternates, which will be known after bids close (staff said bid results are expected in about a month). Trustees agreed to postpone a vote and hold a community meeting with the Friends and foundations to review the list and priorities.

Staff warned trustees that much of the furniture is manufactured abroad and that tariff changes may raise costs; staff said some cooperative purchase prices are fixed but that quotes may not hold indefinitely and agreed to check quote validity with the vendor. The board did not approve the requested expenditure at the meeting and directed staff to return with a complete list and timing information after bids are received.
