The Beech Grove City Schools Board of School Trustees on April 8 approved several routine actions and heard department updates on transportation, facilities, food service and grant work.
In formal business, the board approved employment recommendations, voided stale-dated checks, approved minutes and claims from March and authorized fundraisers, field trips and donations. Trustees also moved to adjourn at 7:15 p.m.
Employment and routine financial business
A motion to approve employment recommendations was made and seconded; the board voted in favor. The transcript records the motion with a board member named Isaac making the motion and Janice seconding; the board chair asked for and received a voice vote of "Aye."
The board also approved an action to void stale-dated checks that had been carried over from the prior month. A motion was made and seconded for that item and the chair called the vote; the board approved the item.
Minutes and claims from the March regular meeting were presented and approved by voice vote. Trustees authorized field trips, fundraisers and recorded several donations; district staff said one donation lacked identifying information on the check and that they would clarify the donor on future paperwork.
Operations, safety and facilities updates
Central office staff member Brian Garman briefed the board on personnel and operations. He said one of the district's micro-mini buses ordered more than a year ago is expected to arrive within weeks, and noted the annual state police safety inspection that normally occurs in April has been delayed until June, which could complicate pre-school and summer readiness for some vehicles if repairs are identified. "That won't happen until June," Garman said of the inspection.
Garman reported the maintenance lift the district purchased is allowing the district to perform more work in-house, reducing outsourcing costs. He said district mechanics are proactively servicing older buses and named Johnny as the lead mechanic.
Facilities staff shared that the district received competitive bids to replace three roof systems and hopes to begin work soon, and that a water-line break at the middle school cost approximately $25,000 to repair.
Food service and federal review
Garman and other staff thanked Clara and the Chartwells food-service team after a recent audit came back clean. He told trustees the district has been selected for a National School Lunch Program review next Monday through Wednesday; the district initially thought participation was voluntary but staff said federal rules require cooperation. "We were cited the federal law that said we have to participate," he said, adding the review will involve substantial documentation.
Strategic planning and Lilly Endowment grant timeline
Superintendent Lauren updated the board on ongoing strategic planning and grant work tied to the Lilly Endowment. She said the district awaits notice on its phase 2 (noncompetitive) submission and expects to hear by the end of the month. A concept paper for phase 3 was submitted last week; if approved, the district would be invited to apply for the final round. "We should hear ... by the end of this month about phase 2," Lauren told the board.
Other items
Staff said several custodial vendors presented proposals and the district moved into an evaluation phase. Officials also said the district is working to close visibility gaps in security cameras and to schedule replacements or repairs for boilers and water heaters as part of a prioritized capital plan.
Ending: Trustees completed routine business and adjourned after the regular meeting; staff asked trustees to request additional analytics or details by contacting central office personnel if needed.
