During board business Oct. 24 the Mendon Library Board discussed officer roles and said it needs a new secretary for upcoming meetings.
A trustee explained the duties in the bylaws: the chair calls meetings, signs documents and ensures annual training; the vice chair assists the chair and helps with reminders and training; the secretary “keeps the record of the meetings” and forwards minutes to the library director to post on the state website. The board noted it audio records meetings and that a secretary may draft minutes during or after the meeting using the recording.
Trustees confirmed that Kim serves as treasurer and that Amy, the city council liaison, counts as a voting member of the board but is not eligible to be an executive officer. The board discussed options for taking minutes—typing during meetings or taking notes to complete later—and a trustee said the secretary should send minutes to the director for posting on the state portal before the next meeting so trustees can approve them.
No formal election or vote for secretary was held at the Oct. 24 meeting; the board encouraged members to consider taking the role and said duties are described in Section 2 of the bylaws.
