Pacific Grove amends records-retention policy, staff ramps up Laserfiche portal for public access

The Pacific Grove City Council approved an amendment to the city’s records-retention policy and directed staff to expand online access to public records via the Laserfiche portal.
Sally Moore asked the council to require that retained public records remain posted on the city website so the public need not request copies from the city clerk. Moore said making documents available online would reduce staff time spent responding to requests.
Sandra Kandell, city clerk, said staff is working with IT to publish more records to Laserfiche and that ordinances, resolutions and many contracts dating back to Feb. 2015 are already available. Kandell said audio and video retention periods have been extended and staff continues to work on putting packets and other records into the public portal.
City Manager Mogensen added that the city is moving toward a broader public-portal approach and noted the city will need to be pragmatic about archival limits. He told council that the policy as presented was acceptable and that the staff will continue to build the portal over time; council then voted to approve the staff recommendation. The consent agenda vote and the later separate vote on the pulled item 6a passed 6-0.
