Oldham County clerk launches free DocAlert notifications for recorded property documents

Oldham County Clerk Amy Alvey told the fiscal court on April 1 that the county is offering a free subscription service, DocAlert, to notify residents when documents recorded in the county match a subscriber’s name.

Alvey said DocAlert is managed by Software Management, the company that operates the county’s recording system. Residents in any Kentucky county may subscribe using the DocAlert portal; the clerk said the county’s Facebook page and the recorder’s website will carry a link and that a button will be added to the land‑recording page.

Subscribers choose a county (or multiple counties) and enter name variations to ensure documents recorded under maiden names, suffixes or trust names will generate notifications. Alvey said a subscriber may receive up to 10 alert entries per day and should enter all known name variants to reduce irrelevant notices. She cautioned the system does not include date‑of‑birth or Social Security number fields and cannot filter by those identifiers.

When asked by Magistrate Woosley whether DocAlert could prevent a document from recording without the subscriber’s authorization, Alvey said no: "Not with a population of almost 70,000 people. That would hold up recordings tremendously... It notifies you as the individual that document has been filed in your name." She said the service is intended to put residents on notice so they can contact the deed room and pursue remedial steps if necessary.

Alvey also gave statistical context for the county clerk’s offices, saying March is the busiest month and summarizing transaction and revenue totals for March 2024 and March 2025 across branch locations.
