Cedar Fort planning commissioners discussed several administrative improvements aimed at streamlining records, meeting materials and public access, and directed staff to implement a shared organizational account and folder structure.
Planning staff described an existing Google Drive collection of ordinances, meeting minutes and planning documents and proposed a single shared Gmail account (for example, a planning-specific Gmail address) that would be used to host shared files and grant access to commission members and staff. Commissioners asked that folders be organized by year and meeting type so members and the public can locate agendas, minutes and associated documents easily; staff said they will create a consistent folder structure and provide access rights for commission members and council liaisons.
The commissioners discussed mail-label printing, the logistics of bulk mail-outs for public notices, and options for staff to provide printed labels or to prepare mail runs in-house. Staff offered to coordinate spreadsheets for address pulls and to generate labels to avoid hand-addressing envelopes.
On meeting technology and records, staff said they will consolidate Zoom/recording files to a single town computer/drive and add missing older recordings where available. Commissioners discussed purchasing a small set of tablets (example: five devices) for use during meetings so materials need not be printed for every meeting and so members can annotate packets digitally.
Staff committed to: creating a shared planning Gmail account and consistent drive/folder structure; ensuring all new meeting agendas, minutes and recordings are stored in the shared drive; and preparing mailer spreadsheets and labels for the March 17 public hearing. The commission requested that staff provide logins, folder locations and brief instructions on navigating the shared drive at the next meeting.
