Public‑works director (presenting) described why the town has repeatedly selected RoadSafe even when it was not the lowest bidder, citing safety practices, a long‑term working relationship and consistent adherence to quoted prices. “RoadSafe … provide[s] a level of safety that is unprecedented and second to none,” the director said, and he noted a regional manager the town works with has been consistent for 12 years.
Council members acknowledged that RoadSafe’s pricing can be higher — Councilman Watts observed RoadSafe was 10.2 percent higher than the lowest bid — but supported the contract amendment based on a record of few change orders, reliable customer service and the vendor’s responsiveness in emergencies.
The motion to approve the amendment passed on a roll call vote with all members in favor. No specific dollar amount for the amendment was placed on the record at the meeting; staff said the amendment awaits the underlying solicitation and provides the town access to rental equipment lists under the cooperative purchasing arrangement.
Staff will continue to use the cooperative purchasing agreement to obtain traffic control and rental equipment for special events and public‑works needs and said the vendor has historically corrected invoices when discrepancies occur.
