County IT warns ImageMate support ending; plans software replacements, AI review and e-signature pilot

Sullivan County IT staff told the Management & Budget Committee on March 13 that a vendor-provided imaging product (ImageMate) used by the county's property website will no longer be supported, requiring the county to identify new vendors and budget for unanticipated expenditures.
An IT presenter, Lauren (IT staff), said the loss of ImageMate support was unexpected and will require replacing the property-image viewer used on the public real-property website. “The ImageMate piece that is used off the real property website ... is no longer gonna be supported,” Lauren said, adding that the county will need to evaluate new vendors and solutions.
Lauren outlined other planned and ongoing IT projects: an electronic medical-records RFP for Public Health, an HR system to manage employee records, and a countywide move toward electronic contracts and signatures that will begin with an internal pilot in the IT office. The presenter said the county intends to pilot an electronic-signature solution similar to DocuSign to streamline onboarding and document collection.
IT staff also reported forming a small internal AI review and work group to study protections for personally identifiable information (PII) and protected health information (PHI) as county offices explore AI tools. Lauren said the county moderated and participated in an AI session at a recent NYSAC meeting and will take a slow roll approach because of privacy and security considerations.
IT staff noted a separate item on the committee agenda: a transportation department software upgrade slated for a future meeting that would automate scheduling, reminders and tracking now handled in spreadsheets and on paper. No formal IT procurements were approved at the March 13 meeting; the committee was briefed on needs and next steps.
