The Coffey County Board of Commissioners voted to accept a bid from NT Networks for the county's new phone system, approving a contract with an upfront equipment cost of $46,580 and a monthly service charge of $2,848.50. Commissioners voted in favor after discussing total cost projections over five years and trade-offs between local vendors and larger providers.
County IT Director Brad Scheidmeier had narrowed the responses to four vendors and presented cost comparisons that included upfront equipment charges, monthly fees and estimated five-year totals. Commissioners discussed ownership of phones at the end of a five-year term, rental-versus-purchase models, and whether to favor local vendors at a higher price. Commissioner Peterson moved to accept NT Networks' bid and Commissioner McCurry seconded; the motion carried by voice vote.
The board recorded an estimated total cost of about $219,761 over five years when taxes and additional fees were included. Scheidmeier said funding for the upfront cost would come from the technology reserve line item; monthly fees will be charged to the appropriate operating budgets thereafter. The board and staff discussed that some vendors offered phones as rentals while others sold phones up front and that owning phones could reduce long-term monthly costs.
County leaders said the award aims to replace aging equipment and reduce monthly charges over time while providing flexibility for five-year service arrangements. Commissioners asked staff to forward full bid sheets to them for transparency.
