The Shawnee Mission Public Schools Board of Education at a special meeting approved authorization for a student trip for Shawnee Mission East concert and jazz band students to travel to Winter Park, Colorado, March 19–20, to attend the Winter Park Ski Music Festival. The board approved an expenditure cap of $101,250 for the trip.
District staff recommended approval, saying the trip will include a performance opportunity and educational contest. Dr. Schumacher recommended the board approve “a trip with an expenditure not to exceed $101,250” to cover travel to Winter Park for the March 19–20 festival and related costs.
Board members were told the total expenditure works out to approximately $1,350 per student. District staff estimated up to 58 students would participate, with three district employees and 10 parents approved as chaperones. The per-student cost covers charter bus transportation, lodging, ski lift rentals and lift tickets, and all meals. District staff told the board that students will use personal funds and funds raised through fundraisers and that no district funds will be used for the trip.
One board member characterized the missed step in the approval process as an “honest mistake” and said, “I hope these kids have a lot of fun,” while expressing support for approving the travel so students would not miss the opportunity. Dr. Schumacher thanked the board for holding the special meeting, saying the approval caught a procedural misstep that otherwise would have prevented the trip from being authorized.
Board member Hembry moved to approve the trip; Board member Workman seconded. The board voted in favor and the motion carried. The meeting adjourned after the vote.
Meeting minutes show the board approved the expenditure cap and authorized the trip; board members discussed the funding sources, student count, chaperone plan and travel logistics but did not authorize use of district operating funds.
