County approves recorder system migration to TriMin Systems; $8,000 migration fee plus $17,000 annual hosting

Angie Larson, auditor‑treasurer and CFO, said the move eliminates a separate imaging program and shifts hosting to TriMin for an annual fee of $17,000; there is a one‑time $8,000 image export fee.
Larson said the recorder technology fund — funded by a statutory portion of recording fees retained by the recorder’s office — will pay the annual hosting fee and the one‑time migration cost. “The $8,000 image export from the one program to the other, that's a one‑time fee. And then the bottom, the cost is the $17,000 annual fees for the host,” Larson explained.
The change will reduce county IT support needs for the recorder application and avoid future capital spending for servers, Larson said. Commissioner Berg moved to approve the contracts; Commissioner Westerberg seconded. The board voted “aye” and the motion carried.
Larson said the $17,000 hosting is budgeted in the recorder technology fund; the $8,000 migration cost was not in the current budget but will be covered by that fund.
