Council members said they would send the request to firms that previously qualified under a CVG grant, naming Forsgren, Sunrise, Jones & DeMille and Hanson among the firms to receive solicitations. Staff was asked to draft and send the request for proposals and to put a response deadline so the town could collect the required number of bids.
Members discussed budget and procurement rules: a staff packet showed a $14,000 estimate for the study, while one council member said an additional $20,000 line item had been included in this year’s budget. Council members also noted the town’s procurement code requires multiple written bids for contracts above certain thresholds — specifically that more than $10,000 generally triggers the requirement for three written bids.
Council assigned staff member Kent to send the solicitation letters to the named firms and said the town could hold a quick follow-up meeting or place the bids on a regular agenda once responses arrive. Council members favored seeking bids from all qualified firms so the town could present the best proposals for selection.
At least one motion to solicit bids and send letters to the identified firms was made and approved during the meeting.
