Treasurer receives approval to buy check-scanning software to streamline tax processing

Raleigh County commissioners approved the treasurer’s purchase of check- and stub-scanning software from A Q2 to streamline tax collection and deposit processing.
Shiloh Hager, Raleigh County treasurer, told the board the software will allow staff to scan incoming tax checks and payment stubs to generate files for the county tax software and for bank deposit files in a single step. Hager said the one-time software purchase this year will be paid from the treasurer’s check fund; annual maintenance for 2026 had been budgeted in the treasurer’s office budget.
Commissioners asked about contract terms and a discrepancy between the fee schedule and the contract regarding the down payment (one document showed 50% while a fee schedule showed 60%). Hager said she would verify and correct the inconsistency with the vendor before executing the contract. The bank and other implementation partners were aware and coordinated with the treasurer’s office, she said.
A commissioner moved to approve the software purchase; the motion was seconded and passed by voice vote. The board recorded no roll-call vote on the record. The treasurer will follow up with the vendor to reconcile the down-payment percentage and coordinate implementation with the bank and IT staff.
