- Term: July 1, 2025–June 30, 2026 (one-year renewal; district will receive annual addenda after the primary contract). - Administrative fee: not to exceed $6,500 per month for 10 months (paid from the nutrition fund). - Management fee: not to exceed 0.105 per meal (management fee per meal as presented in the contract packet). - Financial guarantee: Chartwells offered to refund administrative/management fees if operating results fall short of specified revenue-minus-expense projections; the vendor projected an initial loss scenario of roughly $40,000 in the first year with projected improvement toward break-even and eventual profit by year five based on assumed changes in participation and food costs (projections included in the vendor worksheet in the packet).
Staff described a thorough RFP process: the district solicited proposals, ran a vetting committee with district and community stakeholders, and obtained Nevada Department of Agriculture approval for the RFP. Representatives noted differences in kitchen capacity and student taste preferences can lead to menu differences across campuses; Chartwells also maintains an advisory board with parents, teachers and students to help with menu planning on a regular basis.
Board discussion touched on menu consistency, school-specific kitchen constraints, the advisory board’s quarterly schedule and practical service decisions (for example, limited entrée selections for kindergarten classes because of short lunch service times). Trustees suggested minor clarifications to the contract packet to identify acronyms (for example, SFA = school food authority) and asked the vendor to maintain regular outreach to schools for menu feedback.
