County approves $29,567 audio-video upgrade for BOCC meeting room

Meyer said the project would replace table-mounted gooseneck microphones with shorter 5-inch microphones, remove the existing blue tabletop microphones, add a controllable ceiling microphone array to create configurable "sound cones," replace the rear camera and add a presenter camera, and replace legacy audio controls with a locked touch-screen tablet. He told commissioners the upgrade would improve uniform audio levels across speakers and support an upcoming transition to a new meeting-management product (Civic Clerk) that will replace MinuteTrak.
Meyer said Ready Systems, a local vendor, quoted the work at $29,567.02; a competing vendor's estimate was roughly $80,000. He told the board equipment lead time is four to six weeks and that onsite installation would take two days (ideally Tuesday–Wednesday between commission meetings), with testing on Thursday. Meyer said he would cover the cost by reprioritizing other IT projects and was not asking for a capital improvement plan appropriation.
Commissioners asked about coordinating the install with planned window and painting work in the room. Meyer said the microphones and other components can be disconnected and relocated if the room is rearranged and that wiring changes could be addressed later if needed. He said the installation team would manage dust and protection during work.
One commissioner moved and another seconded approval of the Ready Systems proposal. The motion passed on voice vote; no roll-call tally was recorded in the transcript.
The IT director said the upgrade is part of broader audiovisual modernization in county facilities and will improve the quality and reliability of public meetings and recorded audio and video.
Meyer noted the project would be staged to avoid meeting disruption and that the county has worked previously with Ready Systems.
