Waukesha IT board flags AI governance work; no timeline set

Greg Viness, the IT staff representative, relayed a message from Chris that the city will "be working on AI governance" and asked board members to consider potential issues and to email Chris with ideas. Viness said the city currently has limited direct AI use but that some applications (for example, the service desk) include AI features that suggest responses to ticket submitters.
Board members asked whether employees already have access to AI tools. Greg Viness said, "As of right now, there's nothing in place that's preventing anybody from using it." He added that he had not heard of staff requests for AI tools and said the intent is to get ahead of the technology so the city has "guide rails" in place when departments ask to adopt AI.
Members discussed Microsoft Copilot as a likely candidate because the city uses Microsoft cloud services, though participants said the board and staff will evaluate multiple vendors and security implications. One member observed that default inclusion of vendor-provided AI clients on systems can make proactive governance advisable.
No formal motion was made and no vote occurred on AI governance during the meeting. Staff said they will bring ideas forward when available and that the subject may appear on a future agenda when the city has draft guidance or vendor assessments to present.
