Board members approved the trip during a special-call meeting after school staff said a school bus would transport the students and district counsel confirmed board approval would trigger insurance coverage. “As long as the board approves it, that triggers your coverage for your insurance,” Mr. Howard, the board’s legal counsel, said.
The trip drew questions from board members about how it was scheduled and funded. A parent identified in the meeting as Miss Mattingly said she did not know when the trip had been paid for but that it “is paid for.” A staff member and the athletic director, Mr. East, told the board the booster club and coaches had already committed resources and that approximately $5,000 had been invested in the trip prior to the board hearing about it. “I was really concerned for the group because they had already invested $5,000 in this trip,” Mr. East said.
Board members asked whether appropriate adult supervision would be present during the overnight stay. School staff said Coach Contreras and Coach Cooper would be at the camp; Makaylee (an adult referenced in the itinerary) would be staying in the dorms with the students and the camp organizers would provide additional counselors and adult supervisors. “Coach Contreras is also there. He’s just not in the same dorm with the young ladies. Coach Cooper is there as the female rep. But there are other camp counselors and other adults that Asbury has coordinated that are also staying at the camp,” a staff member said.
Board members also discussed steps to prevent similar late notices in the future. Staff said an email had been sent to coaches reminding them that overnight, out-of-state and field-trip requests must be routed first through athletic administration and submitted to Christy Jones at GRC six to eight weeks before a trip so it can be approved by site-based council and the board.
After discussion, the board moved to approve the overnight trip. The motion was made by Miss Hall and seconded by Mr. Kaiser. Board members voted in favor and the motion carried.
The board’s action allowed the students to continue with the planned trip; board members emphasized improving communications so future trips follow the district’s approval timeline.
