Committee approves three procurement items: furniture, workstation hardware and software maintenance

The Finance, Administration & Economic Development Committee unanimously recommended city council approval of three procurement items during the meeting.

Furniture for community services remodel: Tony Roan, presenting for facilities, said the city is renovating about 7,000 square feet on the second floor of the Scaife Justice Center and replacing decades‑old furniture. Using the State of Kansas cooperative purchasing agreement (NASPO ValuePoint MA‑3969 with Steelcase), the committee recommended council approval of a contract with Scott Rice Office Works LLC for furnishing, fixtures and equipment for project NB‑2137 in the amount of $173,219.87.

Workstation hardware: The committee recommended council approval to purchase enterprise workstation hardware from Dell Marketing LP under the State of Kansas participating addendum to the NASPO ValuePoint cooperative agreement (state contract number 55221) in an amount not to exceed $550,000. Staff said the purchase would replace a portion of city computers and servers as part of an ongoing asset lifecycle program; the city maintains roughly 6,000 IT assets and evaluates replacements on a multi‑year rotation.

Software maintenance and licensing: The committee recommended council approval to purchase software and system maintenance from SHI International Corporation using the State of Kansas NASPO agreement (state contract number 53201) in an amount not to exceed $460,000. Staff said the request covers annual maintenance and licensing primarily for Microsoft‑related products (desktop licensing, Intune, SQL database licensing, virtualization licensing) used citywide; staff said leveraging NASPO volume agreements helps stabilize volatile licensing costs.

All three motions passed unanimously in committee and will go to the full council for final approval.
