State Assessment Office Proposes Adding Teacher Email to Utrecht Rosters to Simplify Teacher Accounts

Assessment office staff told directors they plan to ask Utah data governance to add a teacher-email field to Utrecht submissions so teacher accounts can use school email addresses instead of Cactus-based addresses.

The presenter said the change would primarily affect Utah Aspire Plus and Acadience rostering by allowing teacher accounts to align to school email addresses rather than the current Cactus-email rostering method. “We have heard loud and clearly that you don't really love the rostering through the Cactus email,” the assessment staff member said during the meeting.

Why it matters: districts reported operational burdens from current rostering methods. The office said adding a teacher-email field would require effort from local SIS vendors and district staff but could reduce manual rostering work going forward.

What the office asked: assessment staff ran a poll at the meeting and said 92 of 127 LEAs had previously supplied teacher email files for Acadience. They asked directors whether to bring a formal request to data governance and said strong support at the AD meeting would bolster their case. Staff also described a possible later step to use teacher email for automated account creation while leaving some manual teacher-account actions in place.

Caveats and technical notes: the presenter said adding teacher email to Utrecht would still require districts to send that field in their Utrecht submission; it would not automatically change SIS systems. For Acadience the office said it had implemented a workaround this year but that next year the statewide rostering flow would not allow overriding the teacher-email field without a Utrecht update. The staff member encouraged LEAs to coordinate with SIS vendors and to contact the assessment office with questions.
