Library board reviews new CivicPlus board portal and annotation features

Board members received a demonstration of the library board portal (CivicPlus) during the Feb. 13 meeting. Staff walked members through account setup, how to open agenda packets, and the portal’s annotation and private note features.
Jenny Tankersley led the demonstration and showed how members can annotate PDFs, save personal notes and view meeting packets for upcoming meetings. “Any notes or annotations that you do are just for you. We won't see them and your fellow board members won't see them, the public won't see them,” she said while demonstrating the annotation and save functions. Tankersley showed how annotations auto‑save for each user and that members can still receive traditional PDF packets by email if they prefer.
Staff said invitations come from the implementation team and that links may expire; members who had trouble logging in were advised to request a new invitation. The portal demonstration included a brief tour of features useful to meeting preparation, including the ability to highlight, add text boxes and save comments that can be retrieved when reviewing packets.
The board did not take action but staff said they will follow up with members who need new login links and will continue providing both portal and email packet options while the board transitions.
