IT Board approves five resolutions including parks security contract and record-digitization standard

The presenter said the contract covers park facilities across the department (the presentation cited a range of roughly 70–85 locations) and that the city would pay for three years of service up front. The board approved Resolution 25-2 to extend a professional-services agreement with Burke1 for scanning, digitization and application support tied to the city’s Kofax TotalAgility and FileNet systems. The extension authorizes a not-to-exceed amount of $1,000,000 for professional services; the presenter said the full contract ceiling would be $2,640,000 for a one-year term. Resolution 25-3, the IT standard for record digitization and archiving, was approved. The standard requires that digitization requests be coordinated with both the city–county archives and ISA, that digital copies and indexes be provided to archives, and that vendors and volunteers be used only with archives and ISA approval. The presenter said the standard cites guidance from the Indiana Archives and Records Administration and is intended to bring city–county practice into statutory compliance.
The board also approved Resolution 25-4 reaffirming appointed members of the Enhanced Access Review Committee and Resolution 25-5 reaffirming members of the Information Technology Cybersecurity Committee; both measures retained the committees’ current membership and chairs.
