County staff report on courthouse systems: $32,900 HVAC controller upgrade proposed; phone system installed; chairlift repair in progress

County facilities staff told the board the courthouse HVAC control system is currently running on an older Windows 7 PC and that a vendor quoted $32,900 to upgrade main controllers so the system will work with modern PCs.
Staff said the HVAC system is compatible with the existing Windows 7 machine but that remote access by the HVAC vendor (BasePoint) would be lost if the county simply upgraded some machines without updating the controls. The quoted $32,900 would cover controller upgrades to restore vendor remote access. Staff suggested the purchase could be budgeted next fiscal year; the vendor contact said the work was not immediately required.
Staff also reported the county’s new phone system has been installed and that an admin profile has been provided to county staff to manage basic extension and voicemail settings; a few forwarding issues remain under vendor support. In addition, a chairlift at the annex is again out of service; staff contacted the original installer (TK) and, after limited response, brought in Access Elevator for diagnostic work. Staff are pursuing warranty coverage and repair options.
Other facilities work reported included returned concrete work behind the jail kitchen and bollard installation, and an ordered lock system expected mid-January. Staff said they will continue to manage vendor follow-up and include the HVAC upgrade in the next year’s budget planning if the board wants to defer the purchase.
No formal board action was taken on the HVAC quote at this meeting; staff will include the expenditure in next year’s budget deliberations if desired.
