Public asks why district keeps Zoom licenses after switching to Google; admin cites recording limits and cloud storage needs

During the Oct. 27 meeting a member of the public asked why the district still pays for Zoom licenses after moving to Google Workspace. The question referenced two recent expenditures: an initial purchase of pro licenses and a later payment of about $487 for additional cloud storage.

A technology staff member explained that during the COVID period the district provided roughly 1,000 Zoom licenses that included longer meeting lengths and broader recording capabilities. The Google Workspace for Education tier the district now uses imposes limits on meeting length and on recording and storage, the staff member said, and some district functions still require Zoom's pro features.

"We went ahead and bought 25 licenses of Zoom, that are used by 25 individuals so that when they have Zoom meetings, it removes the limitations of the Google classroom time limitations and and recording and things like that," the technology representative said. The $487 payment was described as additional cloud storage to retain previously recorded meetings so the district would not lose access to archived recordings.

The technology staff said the 25 pro licenses are allocated to directors, administrators and other positions that frequently host external meetings or need longer recordings. The speaker also noted that outside organizations sometimes use Zoom and the district needs to be compatible with other platforms.

No board action was taken to reverse or modify the purchases during the meeting.
