Car show drew about 100 cars; committee reports preliminary revenue of $10,180 and incomplete reconciliation

Committee members debriefed the recent car show and shared preliminary financial figures at the meeting. Organizers said about 99 registered vehicles participated, with at least one additional vehicle observed that had not paid at registration. T-shirt and vendor sales were small but positive; organizers noted continued Eventbrite sales would be discussed.

Treasury figures provided at the meeting listed $10,180 in gross revenue and expenses of approximately $6,858. Committee members stressed that the revenue figures did not include some pending items (donations and Eventbrite/Square receipts) and that final reconciliation must be completed by town accounting before any donations are disbursed. The committee agreed to wait until funds hit the municipal accounts before taking votes on donations or allocations tied to the event.

Members identified operational improvements for next year: earlier onsite access for vendors and volunteer check-in to reduce last-minute setup problems, better real-time check-in (tablet/Wi‑Fi), more radios/walkie-talkies for coordination, improved signage and staging maps for vendors, and clearer assignments for volunteers handling t-shirt sales and registration. Organizers said multiple sponsors and vendors expressed satisfaction and committed to return, and several new motorcycle groups indicated interest in participating next year.

The committee asked staff to provide a full accounting statement and reconciliation at the next meeting and to hold any donation disbursements until the accounting entries from Eventbrite and Square have been processed.
