Bel Air staff propose three on-call utility repair contracts with $100,000 limits each

Mr. Klein explained the contracts use unit-cost pricing for a range of potential repairs so the town can respond quickly in emergencies and secure multiple vendors in case a single contractor is unavailable. "So we have 3 different companies that we would like to enter into ... so if occasion ever arises in an emergency situation, we don't have to go through the procurement process, and we were able to quickly get someone out there to do the job," he said.
Staff proposed each contract carry a not-to-exceed limit of $100,000. The item was presented for discussion only; because the Oct. 28 session lacked a quorum, commissioners did not vote. Staff said the contracts will be placed on the Nov. 3 agenda for formal action when a quorum is present.
Clarifying points raised in the discussion included that the unit prices were bid and that staff preferred awarding multiple vendors rather than a single vendor to reduce risk of availability problems during emergencies.
Next steps: staff will prepare formal contract documents and present them for the Nov. 3 meeting for potential approval.
