Jefferson County commissioners voted to approve a five-year contract to adopt Probox as the county's agenda- and meeting-management platform, replacing the county's current MiniTrak system.
County staff described Probox as a direct replacement for the county's current software and said the vendor best met the county's requirements after reviewing multiple products. "This is a replacement software for MiniTrak, which is what we currently use for our managing our agenda meetings," a county staff member said during the presentation. Staff said the first year of the contract would be slightly under $50,000 and that recurring annual costs would be about $25,000.
The contract was moved and seconded on the floor; the presiding officer called for a voice vote and commissioners answered in the affirmative. "All in favor, please. Say aye," the presiding officer said, and the motion carried on the voice vote.
County staff said the migration to Probox will require process changes and a phased transition over several months. No further financial details, vendor contract number or vendor-specific terms were specified during the discussion.
