The Charter Clubs Committee of Sun City West reviewed several operational issues affecting clubs, including a proposed $3 court fee for short‑term court users, delays and training needs for ClubTrack reporting, persistent officer‑recruitment challenges and a new no‑show penalty.
Why it matters: Changes to guest fees and club procedures could affect revenues, scheduling systems and how outside visitors access courts. The committee agreed that any fee or policy change would require consultation with operations and finance staff and, where applicable, governing board approval.
John Click, representing pickleball, urged a simpler, lower fee for short stays. "A $3 fee for every time you come in, no matter whether it's a private reserve court or whether you're coming in for a club sponsored game, I would recommend everybody always pays $3," he said. Click noted many visitors currently attend as part of club events and may already be exempt from the $6 guest pass when participating in club‑sponsored activities.
Committee chair Nick Turner said policy changes would need a formal assessment. He told members the proposed court fee and any change to the number of free social events must be analyzed for operational impact, revenue implications and IT feasibility before a recommendation could be made to the governing board.
Recreation manager Casey reminded clubs of upcoming deadlines and mandatory officer training sessions. "These are mandatory. If you cannot make them, please ask one of your officers to attend in place of you," Casey said, urging clubs to send representatives to the recorded treasurer and officer meetings.
Club officers reported persistent challenges finding volunteers for leadership roles and recurring space and storage concerns. Arts and crafts liaison Cheryl said some clubs could not assemble nominating committees and requested consideration of a third free social event to help membership recruitment.
On ClubTrack, staff said a recent software glitch delayed club reports by a few days; Tim Peterson is available to provide one‑on‑one training and support. Staff also warned clubs that scheduled reservations with no attendees will incur a $50 charge after two recent incidents in which rooms and staff time were reserved but unused.
Several fitness and activity clubs reported membership growth and programming changes. One liaison said the yoga club added evening classes and had grown substantially this year; the liaison cited a membership figure of about 774 members.
The committee did not vote on the court fee proposal. Members instructed staff to gather detailed financial, operational and IT information and to return with findings at a future meeting for possible action by the governing board.
