Organizers reported $34,500 in collected revenue and $47,000 in pledges to date, exceeding last year's total, and outlined outstanding sponsor payments from Everglades Automotive, BDO and FPI. Committee members said the new sponsorship for goodie bags from Safeguard will reduce event expenses.
Committee members discussed creative and operational details for the run: finalizing sponsor art for a Clear Channel billboard, confirming shirt artwork (Miami Lakes blue this year), reconciling paid versus pledged sponsors, and distributing updated flyers after the registration price change to $35 (effective Nov. 1). The organizer reported about 44 registered runners at the time of the meeting and asked members to continue outreach to reach an aspirational $50,000 goal.
Logistics items included tent delivery and staging (tents arrive the day before the event), volunteer shifts for package pickup (goodie-bag distribution scheduled for Dec. 8, with Dec. 9 as a backup), vendor follow-up (Chick-fil-A fruit cups and Asai Express band confirmed) and a plan to make a tent map for delivery crews. Staff member Ruben was asked to finalize a small route adjustment near the new apartment complex and coordinate signage and lane closures.
On marketing, the committee noted a $2,000 town budget line for social media and asked staff to ensure that budget is used for registration promotion in the final weeks before race day. The committee also discussed a minor registration-flyer error and instructed members not to distribute old flyers until they receive an updated version with corrected pricing and the final logo.
Formal actions recorded at the meeting included an early procedural vote to add laser-tag under old business and a subsequent motion, which the committee approved, to spend up to $700 for the laser-tag attraction.
