The staff member overseeing the procurement said the management analyst who had been supporting scoring resigned, which has required staff to pick up those duties and has slowed the timeline. Staff said demonstrations and vendor interviews are forthcoming and they hope to have a recommendation for council by the end of the year.
On event services and catering, staff said two firms responded to the RFP; the firms have experience catering large events but have limited experience with dedicated on-site park staffing. The RFP required that vendors provide on-site staffing (one example in the RFP was two days per week) and some donated hours for event oversight. Staff said one vendor offered to provide 15 donated hours per month to help ensure events are staffed and facilities secured.
Staff and the committee discussed that the RFP intentionally sought hospitality vendors, caterers, hotels and event planners but that few planners stepped forward. Committee members requested interviews and clarified that under the town's prior practice renters with under‑50 attendees could choose their own caterer, while rentals over 50 people historically had used the town-approved provider; staff confirmed those rental rules remain as previously discussed.
