Board liaison Member Walker acknowledged the problem and urged a centralized “parent page” and stronger distribution via board newsletters and social media. “We can help by streamlining it on a website,” Walker said, and proposed a single landing page and one‑ or two‑page flyers to distribute to parent leaders and legislators.
Several members said they could not find policy track‑changes and public‑comment links in the new board platform (Diligent). Policy presenter Robin Welch and board staff described the standard public‑comment process and said the policy committee posts a link where public comments can be submitted. Cindy Adeline (board support) and Miss Barton demonstrated that a “comment on proposed policies” tile links to a form that includes a link to the tracked changes in Diligent, but multiple members said that workflow is not yet obvious to parents.
Denise Douglas, identified by meeting participants as the district’s new associate superintendent for communications, joined the call and was noted as listening to feedback. Board staff committed to produce short user‑focused materials explaining three key actions for parents: (1) how to get on Diligent or view the board agenda package; (2) how to find policies and the track‑change versions; and (3) how to submit public comment. PCAC members offered to test or help distribute the quick guides once they are available.
District staff said they will also confirm that Family Institute flyers and the calendar survey appear on school homepages and the district calendar, and will share a centralized folder or regular update email directing PCAC members to new communications materials.
No formal action was taken; members requested that follow‑up materials be shared to the PCAC email list.
