Since we had posted it, we amended it, sent it out to the board, and then, of course, updated the backup," Jones said, adding that "going forward, the names will always be on there." Board member Longacre asked that the backup be made a perpetual item because Outlook search makes it difficult to find past emails and attachments. "It would be much easier for me to go into an old backup and find that document than to search my email," Longacre said. Jones and the chair agreed to email the list to board members and noted staff could make the document a standing backup item at the board’s direction.
No formal motion or vote was taken; staff said they would distribute the requester list and consider making the document a perpetual backup.
